2. Information we collect

• Contact form and email: name, email address, crop and acreage details, preferred dates, and message content.
• Service delivery: field records, planting maps, harvest logs, and farm addresses you provide for briefing preparation.
• Technical data: IP address, browser type, and pages visited when analytics cookies are accepted.
• Cookie consent choice: stored locally in your browser (see Cookie Policy).

3. How we use information

• Respond to briefing requests and prepare contracted reports
• Send invoices and delivery notifications
• Improve website content when analytics cookies are accepted
• Comply with legal and tax obligations in the Republic of Korea

4. Legal bases

We process data based on contract performance (delivering requested reports), legitimate interests (responding to enquiries and securing our website), consent (analytics cookies), and legal obligation where applicable under Korean law including the Personal Information Protection Act (PIPA).

5. Retention

Contact enquiries: up to 24 months unless a client engagement follows. Client field records and delivered briefings: up to seven years for calibration reference and tax records. Analytics data: aggregated retention per provider policy, typically 14 months. You may request earlier deletion subject to legal retention requirements.

6. Sharing

We do not sell personal data. We may share information with orchard technicians under confidentiality when maturity sampling requires, printing vendors for bound report delivery, and email hosting providers. Analytics data may be processed by third-party analytics services if you accept cookies.

7. International transfers

Our primary systems are located in the Republic of Korea. If we use overseas email or analytics providers, we apply appropriate safeguards consistent with PIPA requirements, including contractual protections where required.

8. Your rights

Under PIPA and applicable law, you may request access, correction, deletion, suspension of processing, or withdrawal of consent where processing is consent-based. Submit requests to info@filecloverway.click. We respond within 10 business days where feasible.

9. Security

We restrict access to client records to staff involved in report preparation, use encrypted email where available, and store working files on password-protected office systems.

10. Children

Our services are directed at agricultural businesses and adults. We do not knowingly collect data from children under 14.

11. Changes

We will post updates on this page with a revised effective date. Material changes affecting existing clients will be communicated by email where appropriate.
